General Terms and Conditions (GTC) – BetaSol Forum 2026

These General Terms and Conditions apply to participation in the BetaSol Forum (Field Day, Knollendialog evening event, and Conference) on 1 and 2 September 2026, organized by:

Association of Hessian-Palatinate Sugar Beet Growers (Verband der Hessisch-Pfälzischen Zuckerrübenanbauer e.V.)
and
Agrarservice Hessen-Pfalz GmbH
Rathenaustraße 10, 67547 Worms
(hereinafter referred to as the “Organizer”).

1. Scope of Application

(1) These Terms and Conditions apply to all contractual relationships between participants and the Organiser in connection with participation in the BetaSol Forum, in particular with regard to:

  • Field Day

  • Knoll Dialogue (evening event)

  • Conference

  • Submission and presentation of technical contributions

  • all organisational, content-related and accompanying services

(2) Only the information, service descriptions and prices published on the website https://www.betasol.info shall be binding.

(3) By registering for one or more components of the event, participants acknowledge and accept these Terms and Conditions as binding.

2. Registration & Conclusion of Contract

(1) Registration for the event is carried out exclusively via the online registration form provided on the website.

(2) By submitting the online registration, participants submit a binding offer to conclude a contract for participation in the selected event components.

(3) The number of participants for all event components is limited.
Registrations are generally considered in the order in which they are received. There is no entitlement to participation.

(4) A contract is concluded only upon explicit confirmation of participation or a request for payment issued by the Organiser.
An automated confirmation of receipt does not constitute acceptance of the contractual offer.

(5) If the maximum number of participants is exceeded, there is no guarantee of a participation place.
The Organiser is entitled to reject registrations for organisational, spatial, safety-related or regulatory reasons.

(6) In the event that a registration cannot be accepted, any payments already made will be fully refunded.
Any further claims, in particular claims for reimbursement of travel, accommodation or other expenses, are excluded.

(7) The Organiser may place participants on a waiting list or offer alternative event components. There is no entitlement to this.

3. Participation Fees & Payment Terms

(1) The applicable participation fees are published on the website.

(2) Participation fees are due immediately upon registration and payable without deduction.

(3) Payments may be made by bank transfer depending on the booking system used.

(4) Participation is only possible after full payment has been received.

4. Services Provided by the Organizer

The services included in the ticket are described on the respective event pages (Field Day, Knoll Dialogue, Conference) and include in particular:

  • participation in the booked programme items

  • catering in accordance with the event description

  • bus transfer (Field Day)

  • documents, translation services or technical support

The Organiser reserves the right to make changes to the programme schedule (see Section 10).

5. Cancellation by Participants

(1) Cancellations must be made in writing.

(2) The following cancellation conditions apply:

  • up to 42 days before the start of the event: free cancellation

  • 41 to 22 days before the start of the event (inclusive): 70% of the participation fee is payable

  • from 21 days before the start of the event or in the event of non-attendance: 100% of the participation fee is payable; refunds are excluded

(3) Participants may nominate a substitute participant at any time, provided that the substitute meets the participation requirements.

6. Cancellation / Changes by the Organizer

(1) The Organiser may cancel, postpone or relocate the event for good cause (e.g. force majeure, statutory requirements, illness of key speakers, extreme weather conditions during the Field Day).

(2) Participation fees already paid will not be refunded in this case.

(3) Any further claims, in particular claims for reimbursement of travel or accommodation costs, are excluded.

 

7. Liability

(1) The Organiser shall be liable only for damages resulting from:

  • intent or gross negligence

  • breach of essential contractual obligations

  • culpable injury to life, body or health

(2) The Organiser accepts no liability for items brought by participants.

(3) The Field Day takes place outdoors. Participants are responsible for appropriate clothing and personal safety.

 

8. Photo and Audio Recordings

(1) During the event, photo, video and audio recordings may be made.

(2) By participating in the event, participants agree that such recordings may be used as part of the public relations and documentation activities of the BetaSol Forum.


In particular, the recordings may be used for:

  • the BetaSol Forum website,

  • event and conference documentation,

  • social media channels of the organizers.


This consent may be withdrawn at any time with effect for the future. The withdrawal must be submitted to the organizer in writing or in text form. Content already published shall remain unaffected, insofar as removal would require a disproportionate effort.

(3) Participants who do not wish to appear in image, video or audio recordings may notify the organizer in writing on site. The organizer will take this into account as far as organizationally feasible.

 

9. Submission of Technical Contributions

(1) By submitting an abstract, the submitting person declares that all information provided is correct and that no third-party rights are infringed.

(2) The programme committee decides on the selection of contributions.

(3) Upon selection of a contribution, the speaker agrees to present the contribution as part of the conference.

(4) The Organiser may publish the title and short description in the programme and on the website.

 

10. Program Changes

The Organiser reserves the right to make content-related and organisational changes, including but not limited to:

  • replacement of speakers

  • rescheduling of programme items

  • adjustments due to weather conditions (especially the Field Day)

  • changes to the timetable

Such changes do not entitle participants to a refund of participation fees.

11. Data Protection

Personal data are processed in accordance with our privacy policy.

By registering for the event, participants consent to the processing and storage of the personal data they provide for the purpose of organizing, conducting, billing and following up the BetaSol Forum.


This includes, in particular, the creation of name badges and participant lists.


Personal data will only be shared with third parties to the extent necessary for the proper conduct of the event, e.g. service providers for catering, technical services or event organization.


Participants also agree to receive event-related follow-up information in connection with the BetaSol Forum. This consent may be withdrawn at any time with effect for the future.

12. Final Provisions

(1) German law shall apply.

(2) The place of jurisdiction shall be Worms, Germany, insofar as legally permissible.

(3) Should individual provisions of these Terms and Conditions be or become invalid, the validity of the remaining provisions shall remain unaffected.
