General Terms and Conditions (GTC) – BetaSol Forum 2026
These General Terms and Conditions apply to participation in the BetaSol Forum (Field Day, Knollendialog evening event, and Conference) on 1 and 2 September 2026, organized by:
Association of Hessian-Palatinate Sugar Beet Growers (Verband der Hessisch-Pfälzischen Zuckerrübenanbauer e.V.)
and
Agrarservice Hessen-Pfalz GmbH
Rathenaustraße 10, 67547 Worms
(hereinafter referred to as the “Organizer”).

1. Scope of Application
These GTC apply to all contracts between participants and the Organizer concerning:
-
Field Day
-
Knollendialog (evening event)
-
Conference
-
Submission and presentation of technical contributions
-
All organizational services related to the BetaSol Forum
By registering for one or more event components, participants accept these GTC.

2. Registration & Conclusion of Contract
(1) Registration is made via the provided online form or by email.
(2) By submitting the registration, participants make a binding offer.
(3) The contract is concluded only upon the Organizer’s dispatch of the registration confirmation.
(4) The number of participants is limited. Registrations are processed in the order in which they are received.

3. Participation Fees & Payment Terms
(1) The applicable participation fees are published on the website.
(2) Fees are due immediately and without deduction upon registration.
(3) Depending on the booking system, payment may be made by bank transfer, SEPA direct debit, or online payment.
(4) Participation is only possible after full payment has been received.

4. Services Provided by the Organizer
The services included in the ticket can be found on the respective event pages (Field Day, Knollendialog, Conference) and include, among other things:

Participation in the booked program items
-
Catering according to event description
-
If applicable, bus transfer (Field Day)
-
Materials, translation services, or technical support
The Organizer reserves the right to make changes to the program (see § 10).

5. Cancellation by Participants
(1) Cancellations must be made in writing.
(2) The following cancellation conditions apply:
-
up to 30 days before the event: free cancellation
-
29 to 7 days before: 50% of the participation fee
-
from 6 days before or in case of no-show: 100% of the participation fee
(3) A substitute participant may be named at any time, provided they meet the participation requirements.

6. Cancellation / Changes by the Organizer
(1) The Organizer may cancel or reschedule the event for good cause (e.g., force majeure, legal requirements, illness of key speakers, extreme weather conditions for the Field Day).
(2) Further claims (e.g., reimbursement of travel or accommodation costs) are excluded, except in cases of gross negligence or intent.

7. Liability
(1) The Organizer is liable only for damages resulting from:
-
intent or gross negligence
-
breach of essential contractual obligations
-
culpable injury to life, body, or health
​
(2) The Organizer assumes no liability for participants’ personal belongings.
(3) The Field Day takes place outdoors. Participants must ensure appropriate clothing and personal safety.

8. Photo and Audio Recordings
(1) Photo, video, and audio recordings may be made during the event.
(2) By participating, attendees consent to the use of these recordings for the BetaSol Forum’s public relations purposes.
(3) Anyone who does not consent may declare this in writing on-site. The Organizer will take this into account.

9. Submission of Technical Contributions
(1) By submitting an abstract, the submitter declares that all information provided is accurate and does not violate third-party rights.
(2) The program committee decides on the selection of contributions.
(3) If a contribution is accepted, the presenter agrees to deliver the presentation during the conference.
(4) The Organizer may publish the title and summary in the program and on the website.

10. Program Changes
The Organizer reserves the right to make content-related and organizational adjustments, such as:
-
Replacement of speakers
-
Relocation of program items
-
Adjustments due to weather conditions (especially Field Day)
-
Restructuring of the schedule
These changes do not entitle participants to a refund of participation fees.

11. Data Protection
Personal data is processed in accordance with our privacy policy.

12. Final Provisions
(1) German law applies.
(2) The place of jurisdiction—where legally permissible—is Worms.
(3) Should individual provisions be invalid, the remainder of the contract remains effective.
